IMPORTANT NOTICES:
ALL POWER ORDERS MUST BE MADE THROUGH BC PLACE STADIUM EXHIBITOR SERVICES DIRECTLY.
Safety Vests are required during move-in. If you do not have one, they will be for sale at Exhibitor Services.
For safety reasons during move-in/move-out, children under 16 years of age are prohibited in the building (this includes infants). This precaution is taken as there are vehicles operating in the stadium, including forklifts and machinery that are dangerous to the inexperienced.

Exhibitor access to the show floor is only allowed 1 HOUR prior to show open on show days with your exhibitor badge.
SCAM WARNING
There have been a number of spam emails offering our attendee lists. These are scams and the senders are unauthorized to use the Marketplace Events’ name. These scammers are attempting to receive monies from exhibiting companies without providing
anything in return. These emails are not approved by Marketplace Events, and Marketplace Events would never ask for bank information or other sensitive information over email. As per our privacy policy, Marketplace Events is a permission-based email sender. We do not share, rent, or sell any email lists.

ENHANCE YOUR COMPANY’S ONLINE
EXHIBITOR LISTING
Your basic listing will be uploaded to the website when you book your booth. Within 24 hours you will receive an automated email to enhance your listing. This link can be used multiple times and you can make updates and changes to your listing until ONE day after the show commences. If you have any questions regarding the online exhibitor listing or do not receive the link, please email our digital support rep, JenK@mpeshows.com.

SHOW OFFICE
The Show Office will be located against the North Wall in Hall C. Please note that the Marketplace Events staff will only be in this location the week of the event: Tuesday, March 10, 2026 to Monday, March 16, 2026.

Online Ordering is available 24 hours a day and exhibitors will immediately receive a confirmation and payment receipt. We highly encourage exhibitors to take advantage of the advanced ordering rate stated on the attached exhibitor form for the best possible prices on their services.
As a reminder, safety vests are required on-site during move-in. Exhibitors can pre-order the safety vests through the VCC Online ordering portal and claim it at the service desk upon arrival on-site.

Big Screen Advertising
Throughout the show, we display exhibitor logos in rotation on the big screen that can be seen anywhere on the lower level. Don't miss out on the opportunity! Remember, the screen is large, and we want to make sure your company is advertised in the best way possible. Therefore, only jpeg or png files with a minimum resolution of 1000 x 600 pixels will be accepted.
Send Madelyne your high resolution logo before February 26th to ensure it's included.

Tuesday, March 10th - 8:00am - 10:00pm
Wednesday, March 11th - 8:00am - 10:00pm (no vehicle access on lower level after 3pm)
Thursday, March 12th - 8:00am - 11:00am (show open)
As a reminder, you must set up a profile through Voyage Control and book your move-in time using your booking code. The booking code and detailed Voyage Control instructions for move-in/out will be emailed to you by Goodkey Show services approximately three weeks before the show.
Please note that anyone on the show floor during move in and move out will require a mandatory high visibility vest as per BC Place Safety Regulations. They will be available for purchase on site through BC Place, or you may bring your own.
MOVE OUT
Move-out Plan - Available February 2026
Please note that all exhibitors may start to tear down their booth at 6:01 pm (NO EARLIER), and hand carry anything they want out of the building. Vehicles may NOT enter until carpets have been pulled up.
Vancouver Convention Centre and Marketplace Events also will be enforcing a "take out what you bring in" rule so any trash/materials left in your booth space after you move out will be charged back to you to be disposed of. Please be sure to clean up your space when you leave.

SHOW INSURANCE
Proof of trade show insurance is mandatory for our shows. Coverage dates must include Move In and Move Out. Liability requirements are $2,000,000 and we require a copy of your policy sent to Madelyne Lemieux to keep on file before March 6, 2026.

EXHIBITOR BADGES
All exhibitors need to display their badge on show days to gain admittance to the show floor.
Exhibitors are given an allotted amount of badges to their booth based on square footage (see chart below). No forms or lists of names are needed
as the badges are generic. If the number of badges needed for your staff does not exceed the amount shown below, then simply have your staff check in at the Exhibitor Help Desk during or before the show to receive their badge.
Please note that badges do not display exhibitor or company names on them but there is space to display your business card.
0 - 100 square feet = 5 free badges
150 - 200 square feet = 7 free badges
250 - 300 square feet = 9
free badges
350 - 400 square feet = 11 free badges
*Each additional 100 square feet gets an additional 2 badges.
DO NOT LEAVE YOUR BADGES IN YOUR BOOTH as you need them to gain access to the show floor.

Canadian Border Services Event Letter of Recognition - Marketplace Events has registered the show with the CBSA Conventions Program so special duty-free and tax-free importation privileges have been granted for the show. Please contact the shows Official Customs Broker – Cross Connect Customs & Event Logistics if you have any questions or require assistance with clearing your goods into Canada using these special privileges.
BC PLACE SHIPPING LABEL
Please attach the BC Place Shipping label to each piece you are shipping. THIS IS NOT A WAY BILL. BC Place will not accept any shipments arriving earlier than March 10th.
FOOD SAMPLING
Any exhibitor sampling food or beverage products must complete the application form below. As per Vancouver Coastal Health, certain food and beverage exhibitors may need to rent equipment such as sinks or a washing station from the venue, depending on the type of food being handled. esthetics, facials, reflexology, massage, etc. must complete the application
